Payroll – A/R Specialist

Position Summary
This position is responsible for compiling payroll data and maintaining payroll records. In addition, this position is also responsible for recording payments and maintaining account receivable records

Essential Job Duties
Payroll
• Process all payroll information
• Update employee information and changes in payroll system
• Review wages computed to ensure accuracy of payroll
• Responsible for tracking of paid time off accruals and reconciling to the general ledger
• Prepare monthly labor reports
• Set up new employees in payroll system
• Train all new employees on time sheet reporting system
• Oversee all employee deductions to ensure accuracy
• Anticipate and implement changes related to IRS regulations
• Responsible for the administration of all employee benefits and balancing to payroll and general ledger

Accounts Payable
• Facilitate and monitor coding of invoices and purchase orders to ensure accuracy of general ledger account posting
• Process payments, print checks, produce check register, and mail disbursements
• Maintain petty cash and reconcile to general ledger on a monthly basis
• Print all accounts payable checks, reports, and maintain accounts payable vendor files
• Research all outstanding accounts payable disbursement checks and resolve all open issues
• Process all project invoices
• Answer all vendor inquiries
• Analyze vendor accounts and negotiate terms when case is restricted
• Prepare analysis of accounts, as required
• Prepare 1099’s annually
• Assist with accounts receivables and special projects, as necessary

QUALIFICATION (required):
Education:
• Associate degree in finance/accounting or equivalent experience and/or training.

Experience:
• 3 – 5 years payroll and accounting experience
• Experience working in a nonprofit environment

• Demonstrated service orientation
• Ability to communicate changes and use reason when dealing with emotional topics
• Ability to maintain confidentiality
• Knowledge of payroll and accounting systems
• Knowledge of accounting practices and principles
• Ability to deal with frequent changes, delays, or unexpected events
• Ability to write clearly and informatively and edit work for spelling and grammar
• Ability to read and interpret written information
• Ability to speak clearly and persuasively in positive or negative situations
• Ability to manage multiple projects simultaneously and to set priorities
• Ability to proactively respond to requests
• Proven proficiency in Microsoft Office
• Proven ability to follow instructions and respond to directions
• Proficiency in e-mail and Excel
• Ability to interact with a wide range of personalities
• Problem-solving approach to assist in maintaining positive staff relationships and a healthy work environment
• Knowledge of and experience with research and non-profit organizations
• Ability to work independently as well as cooperatively in a team environment
• Proven ability to use time efficiently; set goals and objectives; and develop realistic goals
• Proven ability to make decisions and exercise good judgment
• Ability to deal with frequent changes, delays, or unexpected events

PHYSICAL DEMANDS/WORKING CONDITIONS
• Intermittent physical activity including bending, reaching and prolonged periods of sitting.
• Intermittent lifting of 20 – 30 lbs.
• Ability to travel to local destinations outside of Search Institute’s offices

Volunteer Opportunities

Search Institute has taped conference sessions for the past 10 years and is looking for volunteers to transcribe the tapes for use in new products, trainings, or on our Web site.

Primary Duties and Responsibilities:

  • Listen to and transcribe tapes into a Word document
  • Proofread and edit for any errors

Experience and Qualification Requirements:

  • Ability to type 40 wpm
  • Experience using transcription machine
